The Gear Icon ⚙️: Your Personal Settings
Click the Gear Icon in the top-right of HubSpot to access your settings and personalize your experience.
- Profile: Set your name, photo, and language.
- Email: Connect your inbox to log emails automatically.
- Calendar: Integrate your calendar to use the Meetings Scheduler.
- Calling: Connect your phone to enable click-to-call and logging.
Finding Your Way Around
- Expand Navigation: Use the icon in the top-left to expand the main menu and see all available tools.
- Sales Workspace: Your primary destination for daily activities. Find it under the "Sales" menu.
- Bookmarks: Create shortcuts to your most-used pages for quick access.

Your Daily Workflow

Finding & Creating Records
Use the Global Search Bar at the top, the "+" button in the navigation, or the primary "Create" buttons on any page to quickly find or add new information to HubSpot.
Connecting Your Data: Associations
Associations are the links between your records. Connect contacts to companies, and deals to contacts, to create a complete 360-degree view of every relationship.
Understanding the Customer Journey
Lifecycle Stage shows the contact's overall relationship with your brand (e.g., Lead, Opportunity, Customer). It's the big picture.
Lead Status gives a more granular view of your direct sales interaction (e.g., New, In Progress, Unqualified). It's your current action step.
Your Command Center: Workspace & Views
Your operational hub in HubSpot consists of the Sales Workspace and Saved Views. The Workspace is your daily dashboard, while Saved Views are the powerful, dynamic lists that fuel your workflow.
The Sales Workspace
This is your daily dashboard. It combines your Leads, Deals, upcoming Meetings, and open Tasks into a single, actionable screen to help you plan your day effectively.
Mastering Saved Views
Saved Views are one of the most powerful organizational tools in HubSpot. Use them to create targeted lists for prospecting, follow-ups, and reporting.
Navigate to an Index Page
Go to the main page for Contacts or Companies.
Apply Your Filters
Use "Advanced filters" to set criteria (e.g., "Lifecycle Stage is Lead" AND "Last Contacted > 30 days ago").
Save and Name Your View
Click "Save view" and give it a clear name like "My Untouched Leads".
Access and Use Your View
Your view now appears as a quick-access tab on the index page.

Feature Spotlight: Sequences
Sequences are a series of automated, personalized emails and follow-up task reminders. They ensure you stay on top of outreach so no lead ever falls through the cracks. The sequence automatically stops when a contact replies or books a meeting.
Enroll Contacts
Enroll contacts individually from their record or bulk-enroll an entire list from a saved view.
Personalize & Launch
Review and personalize each automated email before the sequence begins to add a human touch.
